This page is designed to give Sponsors of OWASP AppSec USA 2013 as much information as possible in order to make them successful at the conference. Eventa Design and Production – Show Kit
Please note ALL exhibitor shipments MUST be sent to Eventa Design & Production Group per the instructions provided in their Exhibitor Kit. Do not send advance freight to the NY Marriott Marquis. All shipments must be properly labeled and please take care to ensure materials for attendee bag stuffing are shipped to the Eventa Office (Pavoinia Ave), while all other materials for your booth are shipped to their Warehouse (Mayfield Ave).
Important Dates, Deadlines, & Reminders for Sponsors
- ASAP – Register all staff through Cvent using the discount codes provided to you.
- ASAP – Update your company logo, description, and other details on our conference schedule site.
- October 11 – Send your company profile, high resolution logo, and sponsorship ad for printed conference program to email@example.com.
- October 25 – Cut off date to reserve hotel rooms at NY Marriott Marquis to receive group rate.
- October 30 – Book Lead Retrieval Services through 1st Sales
- November 11 – Deadline for 2000 inserts for attendee bags (if included in your sponsorship package) to arrive at Eventa Design & Production office: 232 Pavoinia Ave. Suite 411, Jersey City, NJ 0732.
- November 15 – Deadline for booth materials to arrive at Eventa Design & Production Warehouse: 50 Mayfield Ave.,Edison, NJ 08837
- November 19 (3:00 PM – 6:00 PM) – Early on-site conference checkin at NY Marriott Marquis.
- November 20 (5:00 AM – 8:00 AM) – Exhibitor Set Up.
- November 20 (9:30 AM – 5:00 PM) – Conference Day 1, Exhibitor Showroom Hours
- November 21 (10:00 AM – 5:00 PM) – Conference Day 2, Exhibitor Showroom Hours
- November 21 (5:00 PM – 8:00 PM) – Exhibitor Tear Down
Q: When will lunch be served at the conference? Want to make sure our booth is staffed at that time.
A: We will be running talks all day on both Wednesday and Thursday with no breaks in the schedule for a formal lunch. Full conference pass holders will be able to take advantage of our food and beverage “stations” provided on Wednesday 10 am to 1 pm and 4:00 pm to 7:00 pm. On Thursday morning, we will have food and beverage stations again from 10 am to 1 pm. Thursday afternoon we will just be serving beverages from 3:00 to 4:00 pm.
Q: What facilities can we expect to have at our booth?
A: Each booth will have: Pipe & Drape Booth with 8′ tall back drape, 3′ tall sidewall drape; 6′ Topped and skirted table; 2 Chairs; Wastebasket; and a 7″x44″ Exibitor ID sign. Additionally, standard power outlets will be provided at each booth. If you have any special furniture, electricity, AV, or other requests, please review the order forms provided in the Eventa Exhibitor Kit.
Q: When can we begin setting up our booths?
A: Exhibitor set up is 5:00 AM to 8:00 AM on Wednesday Morning, November 20. If you anticipate this will not be enough time for set up, please let us know and we will work with you to accommodate your set up needs.
Q: When is the booth teardown period?
A: Exhibitor tear down is 5:00 PM to 8:00 PM on Thursday Evening, November 21. If you anticipate this will not be enough time for tear down, please let us know and we will work with you to accommodate your tear down needs.
Q: Are there any options for us to increase our leads at the conference?
We’ve partnered with 1st Sales Lead Retrieval Services to ensure that all sponsors have lead retrieval devices to scan badges of attendees that visit their booth. For Diamond, Platinum, Gold, and Silver Sponsors – one complementary lead retrieval device is included in your sponsorship package. Additional scanners can be reserved through 1st Sales.
Ready to order (or receive your complimentary scanner)?
In addition to lead retrieval options, Diamond, Platinum, and Gold Sponsors will automatically be included in our passport program. Other sponsors may participate by adding this to their sponsorship package. Additionally, let us know if you have items that you want to include in the sponsorship passport giveaway (drawing).
Finally, if you have a giveaway or drawing taking place at your booth (separate from the sponsor passport program), we can help you make the announcement of the winner(s). Contact us at firstname.lastname@example.org for more information.
Q: Where and when do I pick up my lead retrieval device?
A: Please contact 1st Sales prior to the show to make sure your company is set up in their System. During early on site check in (Tuesday November 19th 3:00 PM – 6:00 PM) there will be a 1st Sales representative to distribute the scanners and answer and questions. 1st Sales will also be available starting at 6:00 AM on the first day of the conferences (Wednesday November 20th) for those not able to pick up their scanners during early check in.
Q:Will there be on-site support for lead retrieval scanners?
A: Yes, 1st Sales will have a representative on-site throughout the show to assist with any questions or issues.
Q: Where do I ship boxes to?
For shipping of all booth material please see attached instructions from EVENTA to ensure that you have the proper paper work and label. Download the Eventa Exhibitor Kit.
For Attendee Bag Inserts ONLY:
A: If your sponsorship includes company literature placements in attendee bags, please send 2000 copies to the shipping address listed below.
Inserts should arrive at Eventa by Monday November 11th. If they arrive later, they won’t be placed in the bags. Maximum of one insert per company.

Q: Are reduced rates available for our staff to stay at the venue?
A: Yes, we have a negotiated a special rate at the NY Marriott Marquis that is available until October 25. We recommend reserving your room as soon as possible though as the room block is filling up fast!
Q: How do we register our staff for the conference?
A: Sponsors should receive e-mails containing special codes to register their free full conference and expo passes. These discount codes should be applied at checkout.
Q: What are the hours that our booth needs to be staffed?
A: Official Exhibitor Showroom hours are 9:30 AM – 5:00 PM on Wednesday, November 20 and 10:00 AM – 5:00 PM on Thursday, November 21.
Registration will begin at 7 AM on Wednesday and the conference will begin at 8:30 AM. While our “official” showroom hours don’t start until 9:30 AM on Wednesday and 10:00 AM on Thursday, you are welcome to staff your booth earlier in the morning as well as later than 5:00 PM on Wednesday.
